FlowChecks - Where Process Meets Precision

Welcome to FlowChecks, a system designed to organize, delegate, and track organizational operations and tasks through a clear and powerful hierarchical structure. Our philosophy combines cognitive science with strict execution to ensure that every process in your organization is performed with precision and accountability.

Key Concepts

The core of FlowChecks is its system of hierarchical structures. Each structure is built from nodes, and each node type has a specific purpose within the hierarchy.

Node Types (Templates)

In the Organizational Layer Design section, you define the templates for your processes. The hierarchy is built following a strict order:

  1. Root: Represents an entire organizational operation or department (e.g., "Full Sales Operation").
  2. Domain: Broad functional areas (e.g., "Account Management," "Sales Operations").
  3. Process: Specific workflows (e.g., "Prospecting and Lead Generation").
  4. Activity: A group of related tasks that contribute to a process (e.g., "Research Target Companies").
  5. Task: The most granular unit of work (e.g., "Search LinkedIn Sales Navigator").

Roles and Responsibility

Instead of assigning tasks directly to users, FlowChecks uses a system of Roles (e.g., "Operation Manager," "Analyst," "Field Agent"). When creating each node in the template, you assign a responsible "Role".

Workflow: From Design to Execution

FlowChecks operates in a clear three-stage cycle:

1. Design the Structure (Organizational Layer Design)

This is the planning phase.

  • Purpose: To model your organization's processes as reusable templates.
  • Action: Go to Organizational Layer Design. Here you can build your hierarchy of Root, Domains, Processes, Activities, and Tasks. Define roles, descriptions, and estimated times for each part of your process.

2. Activate the Structure (Create an Instance)

Once your template is ready, you must activate it to use it.

  • Purpose: To create a "live," operational copy of your design for a specific period or functional run.
  • Action: In Organizational Layer Design, use the Create Instance button on your root structure. Give it a meaningful name (e.g., "Q3 2026 Sales Cycle"). This new Instance will appear in the Active Processes section.

3. Execute the Work (Activity Center)

The Activity Center is your hub for daily work.

  • Start New Activity Tab:

    • Purpose: To start a new piece of work based on your active templates.
    • Action: Search for or navigate to the Activity you want to perform within one of your active instances. Click Start. You will be prompted to give this specific run a unique name (e.g., "Weekly Client Audit") and a description.
  • Ongoing Activities Tab:

    • Purpose: To manage and track all activities that are currently in progress.
    • Action: When you start an activity, it will appear here. Expand it to see all its Tasks. You can start a task (which triggers a timer), mark it as In Progress, Blocked, or Done. The overall progress of the activity updates automatically.
  • Past Activities Tab:

    • Purpose: To maintain a historical record of completed work.
    • Action: When all tasks within an activity are marked as Done, the activity automatically moves to this tab. Here, you can review the details, including the start dates, completion dates, and total duration for each task and the activity as a whole.

How to Get Started

  1. Create a Workspace: A Workspace is a container for your structures.
  2. Define Your Roles: Go to Settings -> Roles & Permissions and create the roles your team needs.
  3. Build Your Structure: Go to the Organizational Layer Design section and design your process template.
  4. Create an Instance: Activate your design by creating an Instance from the Organizational Layer Design page.
  5. Execute Your Work: Go to the Activity Center, start an Activity from your new instance, and begin managing your Tasks.
